Travel & Accommodation
Many events come with accommodation and travel requirements and it’s important that your event management software can effectively manage this process.
As part of the booking journey, options for travel and accommodation can be included. The event manager can upload the number of hotel rooms available – split by room type (double, single etc) and hotel (if more than one hotel). The event manager can also upload information relating to each hotel, such as address, website, contact details and more. Delegates can then select the number of rooms and room types/locations as they go through the booking journey. Once successfully reserved and/or paid for (see the Online Booking & Registration Journey page for information on payment options), evocos will automatically adjust the number of rooms available based to ensure no hotel or room type becomes over booked.
The same process can apply for travel related bookings. Delegates can choose the travel type (plane, train, taxi etc) and travel times and these can be reserved or paid for as part of the booking journey.
As part of the evocos Event Reporting Suite, event managers can download accommodation and travel reports and give these to their travel agents or hotels as part of the event planning process. Reports can also be generated which can be used to build personalised e-tickets which can be send out to delegates individually before the event.
